How to respond to negative reviews for a small store
By the Chatbait team ·
Short answer: reply calmly, address the specific problem, offer one concrete fix, and keep it short, since future customers read the reply as much as the review. Don't argue, don't get defensive, and don't ask the reviewer to take it down. Below are the steps, what not to do, and templates for the most common situations.
Facts last checked on October 18, 2026, against the sources linked below.
The steps
- Wait a few minutes before replying if you feel angry. A reply written while upset is easy to regret later.
- Read it twice. Separate the actual complaint (late delivery, wrong size, rude reply) from the tone.
- Message the customer privately first, if the platform allows it, to see if there's a real fix before you reply in public.
- Reply publicly, short and specific: acknowledge the issue, state what you did or will do, and stop there.
- Follow up if things change. If you fixed the problem later, add a short update to your reply.
What not to do
- Don't argue with the facts in public. Even if the review is unfair, a back-and-forth in the replies looks worse to other readers than the original review.
- Don't offer a refund or discount only if they remove the review. Trading money for a review change breaks most platforms' rules and can get the review (or your account) flagged.
- Don't copy-paste the exact same reply on every review. Generic replies read as generic, and 50% of consumers say templated-looking replies put them off, according to BrightLocal's 2026 Local Consumer Review Survey (BrightLocal sells review management software). BrightLocal
- Don't go silent. A business that never replies looks worse over time than one that replies and sometimes gets it wrong.
Reply templates
Use these as a starting point. Change at least one detail each time so the reply clearly fits that review.
Late delivery
Product didn't meet expectations
Rude staff or slow reply
Review that's false or meant for another business
Fair criticism you already fixed
Simple, genuine thanks when they come back to update a bad review
Replying on Google
Go to your Business Profile, select Read reviews, choose Reply next to the review, and send it. Google checks replies against its content policies before they post, which usually takes about 10 minutes but can take up to 30 days. Your reply shows as coming from the business, not your personal name. Google Business Profile Help
If a review breaks Google's rules, for example it's fake, posted by someone with no real experience of your business, or contains harassment or someone's private information without consent, you can report it with the Report abuse button on the review in Google Maps. Google A review that's simply negative, but genuine, won't be removed just because you disagree with it.
Replying on Etsy
Etsy gives you two options. Message the buyer privately first, through Shop Manager > Orders, by selecting the mail icon next to the order the review refers to. Etsy Help Center If that doesn't resolve it, you can post one public response from Shop Manager > Reviews, within 100 days of the buyer's last edit to the review. Once you post a public response, the buyer can no longer edit their original review. Etsy Help Center
A review on Etsy only qualifies for removal if it breaks Etsy's policies, for example if it's obscene, harassing, or contains private information. Etsy won't remove a review just because a seller disagrees with it. Etsy Help Center
Can you get a review taken down?
Only if it breaks the platform's own rules. A genuine but unflattering review stays up on both Google and Etsy, while fake reviews, harassment, and posts containing someone's private information can be reported and removed. Google Etsy Help Center
Frequently asked questions
Should I reply to every negative review?
Yes, where the platform allows it. A business that replies to all its reviews is one that 80% of consumers in BrightLocal's 2026 survey said they'd be more likely to use (BrightLocal sells review management software). BrightLocal
Can I ask a customer to remove a bad review?
You can ask once, politely, if you've genuinely resolved the issue. Offering money or a discount in exchange for removing or changing a review breaks most platforms' rules.
What if the review is about someone else's business?
Say so plainly and ask them to check they've reviewed the right business. On Etsy, you can also point out in your reply that you have no matching order.
How fast should I reply to a bad review?
Within a day or two if you can. A quick, calm reply looks better to future readers than a fast but defensive one.
Can the buyer change their Etsy review after I reply?
No. Once you post a public response on Etsy, the buyer can no longer edit their review, so try to fix the problem privately first. Etsy Help Center
