Order confirmation email templates (and shipping emails)
By the Chatbait team ·
Short answer: an order confirmation email needs the order number, items, total, shipping address and a delivery estimate. A shipping confirmation needs the carrier and tracking link. A delivered email just confirms arrival and asks for feedback. A back-in-stock email needs the product, a photo, and a direct link to buy. Templates for all four are below, plus how to edit the Shopify versions.

Why these four emails matter
Shoppers check these emails more than almost anything else you send. A clear order confirmation cuts "did my order go through?" messages. A clear shipping email cuts "where's my order?" messages. Getting the wording right once, in a template, saves you writing it every time.
Order confirmation email
What it must include
- Order number
- Each item, quantity and price
- Order total, including shipping and tax
- Shipping address
- Estimated delivery window
- A way to contact support
Template
Shipping confirmation email
What it must include
- Confirmation the order has shipped
- Carrier name
- Tracking number and a working tracking link
- Updated delivery estimate
Template
Delivered or "how was it" check-in email
Send this a day or two after delivery. It confirms the order arrived and opens the door to a review or a quick fix if something went wrong.
Template
Back-in-stock email
What it must include
- The exact product, and the variant if it was one size or colour
- A direct link straight to the product, so they do not have to search for it
- A note that stock may be limited again

How to edit these in Shopify
Shopify sends order confirmation and shipping confirmation emails automatically, using templates you can edit. To change one, go to Settings > Notifications > Customer notifications, choose the template, click Edit code, then change the Email subject and Email body (HTML), according to Shopify's guide to customizing notification templates. Click Preview to see unsaved changes, or Send test email to get a copy in your own inbox before it goes live.
Shopify also sends an Out for delivery and a Delivered notification automatically, based on carrier tracking events, and both can be turned off or edited the same way, according to Shopify's customer notifications guide.
Back-in-stock emails are not one of Shopify's built-in editable notification templates. Most stores add this with a stock alert app from the Shopify App Store, or send the email above by hand to customers who asked to be notified.
If your store gets the same "is my order confirmed?" or "where's my order?" questions even after sending these emails, a tool like Chatbait can answer them from your shipping and return policy pages the moment a visitor asks, any hour, without you writing another email.
Frequently asked questions
Can I edit Shopify's order confirmation email myself?
Yes. Go to Settings > Notifications > Customer notifications, open the order confirmation template, click Edit code, and change the subject and HTML body, then preview or send yourself a test before saving, according to Shopify's customizing notification templates guide.
Does Shopify have a built-in back-in-stock email?
No, not as an editable notification template. You need a stock alert app, or you send the email manually to customers who asked to be notified.
What's the difference between a shipping confirmation and a delivered email?
A shipping confirmation tells the customer their order has left the warehouse, with a tracking link. A delivered email comes after the order arrives, to confirm it got there and invite feedback.
How long after delivery should I send the check-in email?
A day or two after the estimated delivery date works well, giving the customer time to actually open and try the item before you ask how it went.
